Data Privacy Policy

Qyubie respects your privacy. This policy explains what personal information we collect when teachers, students, and administrators use Qyubie, why we collect it, who we share it with, and the rights you have under the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission (NPC).
1. Who is responsible for your information
For teacher and administrator accounts, and for messages sent through our contact form, Qyubie acts as the personal information controller.
Student records — names, student IDs, enrollments, answers, scores, and attendance — are entered and managed by the teacher or school that uses Qyubie. For that information, the school or teacher decides why and how it is processed, and Qyubie processes it on their behalf. Students who have questions about their records should first contact their teacher or school.
2. Information we collect
Teachers and administrators: name, email address, a securely hashed password, and optional profile details such as employee ID, school, department, and contact number. We also keep a record of license activations and related account activity.
Students: name, student ID, email address (if provided), a securely hashed PIN, class enrollments, exam and quiz answers, scores, submission times, and attendance records.
Exam integrity events: while a student is taking an exam, Qyubie records when the exam starts, is submitted, or times out, and events such as switching away from the exam tab or leaving full-screen mode, so the teacher can review the attempt.
Learning content: files, video links, exam questions, and other materials that teachers upload or create.
Contact form: the name, email address, subject, and message you send us.
Technical information: our hosting providers may log basic technical data, such as IP address, browser type, and request times, to keep the service secure and working.
3. Why we use it
- To create and manage accounts and let users sign in securely.
- To let teachers create, deliver, check, and grade assessments, and keep class records and attendance.
- To let students take assessments and view their released scores, attendance, and learning materials.
- To send service emails, such as PINs and account notices.
- To provide optional AI features that help teachers generate questions and review answers.
- To manage licenses, answer inquiries, and provide support.
- To protect the security and integrity of the service and of assessments.
- To comply with legal obligations.
We process personal information based on the performance of our service to users and schools, their legitimate interests in running assessments and class records, compliance with law, and, where required, consent. We do not sell personal information, and we do not use it for advertising.
4. Who we share it with
We share personal information only with service providers that help us run Qyubie, under obligations to protect it, and only as much as each needs:
- Database and hosting providers (including Supabase), which store the service's data and run the application.
- AI service providers (through OpenRouter), which receive the relevant learning material, questions, or answers when a teacher uses AI question generation or AI answer review.
- Email delivery providers, which send service emails.
- YouTube, when a teacher shares a video and a user loads it (see Cookies below).
Within a school, a student's records are visible to the teachers of their classes and to the school's administrators. Some providers may process data outside the Philippines; where they do, we take steps to ensure the information stays protected as required by the Data Privacy Act. We may also disclose information when required by law or by a lawful order.
6. How long we keep it
We keep personal information for as long as the account or class it belongs to is active, and afterwards only as long as needed for the purposes above, for the school's academic record-keeping, or as required by law. When it is no longer needed, it is deleted or anonymized. Exams a teacher moves to the trash are permanently deleted, together with their submissions, after 30 days. Teachers and schools can ask us to delete their data.
7. How we protect it
We use organizational, physical, and technical safeguards, including encrypted connections (HTTPS), hashed passwords and PINs, access controls so users only see the classes and records they are allowed to, and limited staff access. No system is perfectly secure, but if a personal data breach occurs, we will notify the NPC and affected individuals as required by law.
8. Your rights
Under the Data Privacy Act, you have the right to:
- be informed about how your personal information is processed;
- access your personal information;
- object to processing, where applicable;
- have inaccurate information corrected;
- have your information blocked, removed, or destroyed, where applicable;
- obtain a copy of your information in a portable format;
- be indemnified for damages caused by unlawful processing; and
- file a complaint with the National Privacy Commission.
Students can exercise these rights through their teacher or school, or by contacting us. We may need to verify your identity before acting on a request.
9. Children and students
Many students using Qyubie are minors. Their accounts are created by their teacher or school, which is responsible for having the appropriate authority and, where needed, consent from parents or guardians. We process student information only to provide the service to the school.
10. Changes to this policy
We may update this policy from time to time. We will post the new version on this page with a new “Last updated” date and, for significant changes, notify users within the service.
